Host a Fundraiser
Our generous supporters often find creative ways to give to Free Arts. Every year, individuals and corporations host fundraisers and art supply drives to directly support our programs and allow us to change lives.
We’ve been the beneficiaries of house parties, bowling nights, small dinners and have received incredible supply donations from groups of coworkers, friends, religious organizations, students and others who band together to help contribute items on our art supply wish list.
Here are some tips & best practices if you’re interested in hosting a fundraiser or art supply drive to benefit Free Arts:
Hosting a Fundraiser
Whether your event is large or small, these steps will keep you and your team motivated and well-organized:
1. Establish Committee & Goals
The enthusiasm and dedication of the people who plan and organize the event increases the probability of a successful activity. Have a realistic and measurable financial goal. Hold your first meeting and start dreaming up your event. The type of event you choose should fit the size, interest, talents, goals and time availability of your group. Always identify your audience: who is most likely to attend and support the type of event you have selected?
2. Select a Date & Location
Select a time that is appropriate and convenient for those attending. Be sure to check local community calendars for conflicting events. Select a venue appropriate for your event, expected headcount, and time of year.
3. Develop a Budget
Identify sources of income and expenses. Remember to secure in-kind products and services this will help you keep your costs down, which is something everyone will appreciate.
4. Manage Funds
Your event may need to establish its own bank account to accommodate incoming revenue and expenses. This can be done by visiting a local bank and establishing a Business Account under your event’s name. We ask that all funds be forwarded to Free Arts for Abused Children of Arizona within 30 days following the conclusion of your event.
5. Thank Your Supporters
Please be sure to acknowledge everyone who participated in or supported your event and let them know how much you appreciate their help.
Follow these steps & your art supply drive will be a piece of cake.
1. Plan the Details
Identify your participant audience (school, work, religious group, community organization or event) and make a plan for outreach. Determine your drop-off location or method of collecting supplies–and let your audience know. Think about what kind of fliers you will be making that reflect your purpose, who Free Arts is, and what we do.
2. Select a Timeframe
Choose start and end dates for your art supply drive so that your group knows when to bring materials. Art Supply drives often work well when coordinated with other notable dates like holidays or back to school seasons. You can have a one-day event or you can one that last several days.
3. Let Us Know
Notify Free Arts that you plan to host an art supply drive. We will give you all the tools you need to have a successful experience. You can call our office at (602) 258 8100 or you can send us an email with details and questions you have.
4. Remind, Remind, Remind
Send regular reminders to your group during the drive. And send several “last chance” emails as the drive comes to a close.
5. Deliver Supplies
Coordinate a delivery with Free Arts. Letting us know in advance when you are arriving to drop off donations allows us to have adequate staff members available to receive your donations.
6. Thank Your Supporters
Please be sure to acknowledge everyone who participated in or supported your event and let them know how much you appreciate their help. A thank you card goes a long way!
